Governance & Copilot Readiness

Know what’s in your Microsoft 365, and who can get to it.

Microsoft 365 grows quickly. Sites and Teams get created, people move on, permissions drift and licences pile up. When you switch on Copilot, it can draw on everything each person has access to, which is usually far more than anyone realises. We help you see what’s there, fix what matters and keep it that way.

The solution

Sensible control, without the bureaucracy.

Governance isn’t about locking things down. It’s about knowing what you have, deciding who owns it and agreeing a few practical rules. AI doesn’t create the problem; it surfaces it. So we start with a fixed-price check, fix what matters most, then keep it tidy.

Sol ico g visibility

Environment visibility

Understand what actually exists: every site, Team and group, and how much of it is still in use.
Sol ico d permissions

Permissions & access

Review who can see what, tighten what has drifted, and agree how access is granted from here on.
Sol ico g ownership

Structure, naming & ownership

Consistent structure and naming, and a named owner for every site and Team.
Sol ico d retention

Lifecycle & archiving

Decide what happens when a Team or site goes quiet: archive it, keep it or retire it.

Licence & capability review

See what your licences include, what you actually use, and where you’re paying for more than you need.

Copilot readiness & rollout

Make sure Copilot only surfaces what each person should see, then roll it out with sensible defaults and a practical usage policy.

How it works. 1. Check: a fixed-price look at sharing, storage, permissions and licences, with a plain-English report on what to fix first. 2. Fix: a prioritised clean-up, worst risks first. You decide what stays and goes; we do the heavy lifting. 3. Keep it tidy: scheduled reviews, quarterly for most. A calendar, not a contract.

Platforms

Using what Microsoft 365 already gives you.

Most of what you need is already in your licence. It just needs to be understood, configured and maintained. We use the built-in controls first, and only add tools where there’s a genuine gap.

Core platforms
Sol ms sharepoint

SharePoint

Site structure, permissions and sharing settings across your environment.
Sol ms teams

Teams

Team creation, ownership and lifecycle, usually where sprawl starts.
Sol ms copilot

Copilot

Only as safe as the permissions underneath it. Getting those right is what makes Copilot sensible to switch on.
Extend with

Microsoft 365 compliance tools

Retention, sensitivity labels and reporting, already in your licence, where compliance or risk makes it worth it.
Sol ms powerautomate

Power Automate

Automate ownership reviews, access requests and new site requests.

Common questions

Questions we’re often asked.

Is it safe to turn on Copilot?

It can be, once you know what each person can access. Copilot can draw on everything a user has permission to see, so years of “everyone” links and old shares can surface content people shouldn’t see. The readiness check finds those first.

What does the readiness check cover?

Sharing, permissions, storage, site sprawl and your licences, with a plain-English report: what’s fine, what’s a risk and what to fix first. It’s a fixed price.

Does Copilot respect SharePoint permissions?

Yes. Copilot only shows content the user can already open. The risk is that most people can open far more than anyone realises.

Do we need Copilot licences for everyone?

Rarely. Most organisations start with the roles that get the most value, after the data clean-up. The licence review in the check helps you decide.

Ready to see what’s really in your Microsoft 365?

Whether you’re worried about sprawl, unclear permissions or getting ready for Copilot, we’ll help you understand where you stand and what’s worth doing about it.
