Review dateEvery document has an owner and a clear next step. Each stage belongs to one role, and nothing is published until the right person has signed it off.

Drafts and updates the document. Every version is kept, and the document number and details are already in place.

For high-risk documents, the department’s authoriser reviews the content and signs off, or sends it back to Edit with comments. Other documents go straight to Publish.

Checks naming, details, formatting and access, then publishes. Editing locks, the version and issue date are stamped into the document, and a controlled PDF is created.

Every published document has a review date. When it’s reached, or someone asks for a review, the document goes back to Edit.

Only approved, current documents are visible. Search and filter by type, department, number or review date.

Create from approved templates or upload a file, with the right details captured at the start.

Sign-off by the right person for each department, email notifications with direct links, and a full history.

Review dates, reminders and a compliance dashboard showing what is due and overdue.
Every document gets a unique number from your own naming rules. No duplicates, no guesswork.
Number, version, owner and review date filled in from SharePoint, so the document always matches the record.
Staff confirm they have read and understood key policies, with reminders, overdue tracking and a CSV export for audit.
Review and approve from any device, in English, Dutch, French or German.
Every version kept with its change notes. Superseded documents are archived, never deleted, so past versions stay available as evidence.
Limit sensitive documents to named groups. Everyone else sees only what they are allowed to.
A read-only PDF is created on publish, for distribution and reference.
One email a week per person listing what needs their attention, with direct links.

Is this the current version? Who approved it? When is it next reviewed? Where is the old one? Applecart DMS answers each of them in seconds.
